Application & Approval

Once interest is confirmed, guide prospects through the application so qualified tenants are approved efficiently.

Application submission​

Direct applicants to apply through Zillow, which includes a background-check fee.

Approval criteria​

  • Credit score: 690–700 or higher (may vary by location).
  • Verify paystubs and background-check results.
Housing vouchers / subsidies (CA)

Treat housing vouchers and subsidies as lawful income and apply income requirements only to the tenant's portion of the rent. Follow the Housing Voucher & Subsidy Compliance Policy.

Gather supporting documents​

  • Print the application summary.
  • Collect: driver's license, pet information (if applicable), desired lease start date, and any special lease terms.

Present to ownership​

Submit the package with your recommendation.

Lease preparation & execution​

  • Draft the lease in AppFolio.
  • Require signature, security-deposit payment, and first month's rent.
  • Manually set the first month's rent due date to lease execution in AppFolio.
  • Set up renters insurance (configurable in AppFolio).

Welcome letter​

Upon lease execution, send a welcome letter covering: parking-space assignment, list of keys provided, intercom instructions, and utility setup instructions.

Wrap up​

  • Deactivate marketing — turn off listings on Zillow and MLS.
  • Invite the tenant to the AppFolio portal.
  • Schedule the move-in inspection.
